Collection management
In Collection management you record where the object is, what happens to it and what to watch for when handling it.
Which area is the right one?
| Area | What you record there |
|---|---|
| Provenance | Who owned and who held the object, for example after a purchase or gift, with dates, parties involved and evidence. |
| Current location | Where the object actually is, such as storage, a room or a shelf. Every move remains traceable. |
| Loans | Lender, borrower, loan period, agreements and return. |
| Condition report | An assessment with a date and observations, such as "small chip on the rim", plus the reports. |
| Conservation | Planned or completed treatments, who is responsible and what the outcome was. |
| Handling & display | What to watch for in packing, transport, storage and display, for example with light. |
| Rights & agreements | How the object may be used, who holds the rights, for how long and with what restrictions. |
| Values | Amount with currency, date of the valuation and purpose, such as the insurance value. |
Add a condition report
- Open Collection management → Condition report and choose Add condition assessment.
- Enter the date and observations and add the report as a document.
- Choose Add assessment.
For processes with several steps, watch the status. A saved loan request, for example, is not yet a completed loan.
Record a change of location
- Open Current location → Record a move.
- Choose the new location. If needed, add something under Additional info.
- Choose Record move. The move appears in the location history.
Which collection an object belongs to, such as "Keramik", is recorded under Connections → Groupings. This has nothing to do with the location.
