In an exhibition record, you record the title, description, dates, location, participants and the exhibited objects. The illustrated workflow is in Prepare an exhibition with an existing object.

Each section first shows a request for the Assistant and then the manual route. Learn more in The Assistant.

Find an exhibition

Open Exhibitions and search for the title. Use the filters for Timing, Year, Location or Participants to narrow the results. Also search for the subtitle and other spellings before you create a new exhibition. When you open an exhibition, you see the sections Objects, Participants & credits, Sources and Documents.

Create a new exhibition

  1. In the register, select Add. The New exhibition form opens.
  2. Enter the title, dates and description as they appear in your source. Leave unknown dates empty instead of using a placeholder date. Do not change the language or meaning of the original text.
  3. Choose the location from the existing entries. Compare the matches before you record a new location.
  4. Add the known participants and existing sources or documents. Then select Create.

You are done when the title, dates, location and names are correct in the saved overview. Visitors cannot see the entry yet. You set up a view for them later through a channel.

Assign participants and other contributors

In the Participants field, choose the exhibiting people or organizations from the existing entries. If someone is missing and it is clear who is meant, create the entry right there. Record other contributors with their role, such as curation or organization.

After saving, check the Participants & credits section. Participants that CONTXT takes from the makers of the objects are listed under the note From artworks in this exhibition. In that case, also check the object.

You maintain the details about the person under People & Organizations. Do not create the same person again for each exhibition.

Add existing objects

The object list is also called the checklist.

  1. In the exhibition, open the Objects section. Switch to editing if necessary.
  2. Search for the object under Add objects. Compare the title, image and characteristics. As soon as you select the match, the object is added. If it does not work, select Retry.
  3. To enter a catalogue number, for example, open the entry in the list. Save in the same section.

To add several objects at once, select them in the object register and choose Add to… → Exhibition.

A catalogue number such as "17" applies only to this exhibition. The inventory number stays with the object. Do not overwrite the object's general description with text that applies only to this exhibition.

Exhibition and showing

A showing is a location with dates where the exhibition is shown. A touring exhibition can have several showings. Each showing has its own checklist.

The exhibition overview shows the details and the object list of the first showing. At Choose an exhibition showing, pay attention to which showing is selected. If you assign an object to another showing, it does not necessarily appear in the overview.

Add texts, sources and images

File the material your details come from. That way, you can later trace what a change is based on. Under Sources, you link literature with the exact passage; under Documents, for example, a dossier; and under Images, the images. Before saving, check that the assignment and access are correct.

Names that appear in the exhibition text only in a comparison or quotation should not be added under Participants & credits without checking.

Update an existing exhibition

  1. Open the record and open editing at Exhibition data.
  2. Correct the title, description, dates or location and select Save changes.

You edit objects, sources and documents in their own sections. If you edit the object list and select Remove, you only take the object out of the exhibition. The object's record is kept.

If the exhibition is shown in a channel, check the view for visitors after content changes. The current approved details can appear there.
