Change Requests
A change request groups proposed changes to one or more records. One person prepares the correction. A person with the necessary permission decides what is accepted.
Open a request
- Open Changes and choose a view. You can also search for the request or the affected record.
- Open the request. Read the title, the description and the entries it is meant to change.
| View | What you find there |
|---|---|
| Awaiting review | Submitted requests that need to be reviewed. |
| My drafts | Your requests that you are still preparing. |
| Created by me | Your own requests and how far along they are. |
| Completed | Requests that are already completed. |
In a chat with the Assistant, a link or a result card can take you directly to the request.
Prepare a proposal
Tell the Assistant explicitly to create a request. Give it the record and the source, for example like this:
Compare the dating of this object with the catalog page. Create a change request only for the correction the catalog supports, and name the page. Don't change the record yet.
In the request, check that it changes the right entry and the right field. The request starts as a draft. It is submitted only when you select Submit for review, if you see this button. Even a submitted request does not change the record yet.
Review the content of the changes
Review each change individually and ask yourself:
- Is it the right record? With similar titles, the inventory number helps.
- What is being replaced or added? Does the meaning stay the same?
- Does the source say this? Read the passage on the page given or under the catalog number.
- Does a "circa" remain? "circa 1910" must not become a definite year 1910.
- Has the record been changed in the meantime? If you see a "Catalogue changed" notice, the record has been edited since. Compare with the current value and adjust the proposal if necessary.
Resolve questions
Write questions into the request with Comment. A comment does not change the proposed value. Anyone with the permission can Request changes. Once the request has been revised, it goes back to review with Resubmit for review.
Apply reviewed changes
- Select only the reviewed changes you want to accept.
- Select Apply and check the number shown.
- The confirmation shows which changes were accepted. Check the new values in the records.
You only see the button when the request is ready for it and you have the necessary permission. If it is missing, ask in your institution who is responsible. You can apply at most 100 changes at once. For larger requests, select the changes in several rounds. You can decline proposals that don't fit individually. Proposals that you neither apply nor decline remain open.
Close a request
With Close request, you end the work on the request. Open proposals are then not applied. Changes that have already been accepted stay saved. Closing therefore does not undo anything. What was actually saved is shown in the Change Log.
